How to create a Service Scheduler from scratch

Learn how to make a custom service scheduler

Written by Inly Team

A service scheduler is a public booking page where clients choose a service package, pick an available time and book with you. Use it when you sell sessions with set pricing, availability and capacity, such as photo shoots, consultations, or classes, etc.

Starting from scratch gives you a blank scheduler, so you add your own packages, availability and booking steps. If you run photography mini sessions, the Mini Sessions Template comes pre-built with 30-minute sessions.

Setting up your scheduler

  1. Click Scheduler in the left menu.

  2. Click New Scheduler.

  3. Under What type of scheduler?, choose Service Scheduler.

  4. Under How do you want to start?, choose Start from Scratch.

  5. Your first step when starting from scratch will be creating a public Landing Page that clients see.

    1. Page Layout: pick one of the following:

      1. Editorial: a clean centered layout with a full-width photo strip

      2. Hero Top: a full-width hero image at the top, with content below

      3. Gallery: a masonry photo grid above the session cards

    2. Hero Images: drag and drop an image, or click to upload one.

    3. Content: fill in the Headline, Subheadline and About text.

    4. Branding: choose a Font and set your Accent, Background and Button colors.

  6. Packages are the services clients choose from. You need at least one to publish your scheduler.

    1. Click + Add Package (or + Add Your First Package). Tip: "+ Mini Session" adds a pre-built package set up for mini sessions.

    2. Enter a Package Name and Description.

    3. Under Details, set the Duration (minutes), Price ($), Capacity and Location.

    4. Optionally add Photos. The first photo becomes the cover, and clients see them all on the session detail page.

    5. Click Create Package. Repeat for each service.

  7. The next step is to set when clients can book. You must set availability to publish.

    1. Weekly hours: every day starts as Unavailable. Turn on the days you work and set your hours. Use Apply Mon–Fri to copy one day's hours to all weekdays.

    2. Buffer: enter the minutes to leave between bookings, then click Save.

    3. Add Specific Date: to open a one-off date, choose the Date, Start and End times, then click Add Date.

    4. Block Dates: to block time off, choose the First Day and Last Day, then click Block Date.

  8. Next, on the Booking Steps page, choose what clients complete when they book. Use the arrows (or drag) to change the order.

    1. Contract: clients sign a contract before booking

    2. Questionnaire: collect information from clients with a form

    3. Upsells: offer add-on products at checkout

    4. Waitlist: turn on Enable waitlist so clients can join a waitlist and get notified when a spot opens.

    5. Post-Session Automation: turn on Enable automation to send an automatic message, tip request or upsell after the session.

    6. Policies: choose Allow clients to reschedule online and/or Allow clients to cancel online, and add your Cancellation Policy.

  9. Next, set Reminders. Create the automatic emails clients get.

    1. Client Reminders: pick when reminders go out (for example, 1 day before or on the session day). Click + Add Reminder to add more.

    2. Reminder Email: this is on by default. Click Customize this email to change the subject or message.

    3. Confirmation Email: this is sent the moment a client books. Booking details, calendar links and your policies are always included. Click Customize this email to match your brand.

  10. For the next step, choose how clients pay.

    1. Payment Methods: turn on Credit Card (Visa, Mastercard, Amex and more) and/or Cash App.

    2. Processing Fees: turn on Pass processing fees to client to add a 3.5% + $0.30 fee to the client's total.

    3. Payment at booking: choose one option:

      • No payment required: clients book without paying, and you collect or record payment later

      • Collect a deposit: charge part of the price now and the balance at the session

      • Require full payment: clients pay the full amount to confirm their booking

  11. For the final step, Publish and share. You can publish once you have added a package and set your availability. Publishing gives you a booking link to share with clients.

FAQs

  • Is my scheduler saved if I leave partway through? Yes. A new scheduler is saved as a draft as soon as you create it. Find it under Scheduler → Draft to pick up where you left off.

  • Why can't I publish? You need at least one package and some availability. The Publish step lists anything that's missing.

  • Do clients have to pay when they book? No. In the Payment step, choose No payment required, Collect a deposit or Require full payment.

  • Can I stop clients from booking back-to-back? Yes. Set a Buffer in the Availability step to leave time between sessions.

  • What happens when a session is full? If you turn on the Waitlist in Booking Steps, clients can join it and get notified when a spot opens.

  • Can I change the emails clients get? Yes. In the Reminders step, click Customize this email on the reminder or confirmation email.
