How to Migrate From Your Existing CRM to Inly

Move existing clients and documents to Inly with ease by following these steps. Our team is available for free migration support too!

Inly makes it easy to bring your existing client list and documents into the product so you can get up and running fast. Whether you have clients with existing payments or want to keep contracts/invoices together, Inly creates a seamless process to make the switch. Our team is also available for FREE migration support and we have a team of migration specialists ready to help you switch at anytime. Please email support@inly.com to get started otherwise, here are the steps to make the switch yourself.

🛠️ Before beginning the migration process, please make sure you have done the following setup.

✅ Step 1: Navigate to the Import .CSV Tool

  1. Go to Settings → Business Settings

  2. Click Import Clients

💡 You’ll find the Import feature under “Business Settings” in the left-hand menu.


📄 Step 2: Download the Template

  • Click Download Template

  • Open the file and enter your client information in the provided columns:

    • First Name

    • Last Name

    • Email

    • Phone (optional)

    • Company (optional)

    • Notes (optional)

🛠️ Formatting tip: Don’t change the column headers - Inly uses them to map the data correctly. If you download your existing clients from the CRM you are switching from, please make sure the column headers match. (HB exports will look almost identical and need some slight adjustments to import correctly.)


⬆️ Step 3: Upload Your Client List

  • Once your CSV file is filled out, return to the Import Clients page.

  • Click Upload CSV and select your completed file.


👀 Step 4: Review & Confirm

  • After uploading, all imported clients are marked as Inactive to start. This means you can select them when creating a proposal, invoice, form or contract.

  • Review the data and click Confirm Import.

🎉 That’s it! Your clients will now appear in your Clients list under the Inactive tab.


📝 What Happens Next?

  • Once you interact with a client (e.g., send a document or receive a payment), their status will change to Active automatically.



How to Migrate Active Documents, Contracts, and Payments to Inly


Step 1: Rebuild Open Invoices

Recreate any outstanding invoices from your previous CRM in Inly.

  1. Click the ➕ icon

  2. Select Invoice

  3. Click, "Select Existing Client" if you have completed the .CSV import. Then select the Client from the "Inactive" list to mirror their documents and make them "Active."

  4. Copy the previous the line items and charges from your original invoice


  5. Copy over the payment schedule, marking any payments that have already been made as Paid with the toggle.

  6. Click on the Payment Methods to enable them for the client. (Please make sure you have connected to Stripe for online payments!)

7. Setup Automatic Payment Reminders which will trigger according to the payment schedule dates.


Step 2: Upload the Original Contract

To retain a record of the signed agreement:

  • Upload your existing signed contract as an attachment

    • Attachments are located on the lower-left side of the flow builder

  • This will attach it to the flow, but clients will not be asked to re-sign


Step 4: Save Without Sending

When you're ready to save the document:

  • On the final send screen, click the dropdown arrow next to Send

  • Select Save Without Sending

This activates the flow and it will pick up on the payment schedule that was set.

Clients will not be notified, but they will start receiving automated payment reminders according to the schedule.

You can choose to let clients know manually that you’ve switched to Inly or simply let the system take it from here. Now you're all set with your documents mirrored successfully and your clients imported into Inly!
